Management control for the optical practice

Management control for the optical practice is the regular reading of the business’s numbers: revenue and margin by category, average sale, closing rate, stock turnover and ageing, average discount granted, active customers and recalls. It serves to decide with data rather than impressions, and to check whether the choices on positioning, range and selling are producing the expected result.

In the independent optical practice the data is almost always there: it sits in the practice management software. What is often missing is the habit of reading it regularly and with the same definitions, to connect what you see in the practice with what you see in the accounts.

This page explains what to watch, how often, and how management control connects to the other areas of the Optical Retail Marketing Wheel. It is the basis of Trade Up, Trade Up Online and, in English, The Charismatic Practice.

Alessandra’s point of view

Measure before you change

In the method, management control is not a separate area: it runs through strategic planning, range, pricing policies, promotions and team management. It is how the action phase checks itself.

The numbers

What to watch every month

The useful indicators are few, and they should be defined once and for all, so that they can be compared over time without ambiguity.

  • Revenue and gross margin by category: frames, ophthalmic lenses, contact lenses, sunglasses, services.
  • Average sale and composition of the sale: how many sales reach the complete solution (frame, lenses, coatings, second pair).
  • Closing rate: how many consultations turn into a sale.
  • Stock turnover and ageing: what stays on the shelves, for how long and with what value tied up.
  • Average discount granted, by category and by team member.
  • Active customers, recalls made and returns: the continuity of the relationship.
Where margin is lost

Three points that Trade Up and The Charismatic Practice measure

Uncontrolled discounting, stock that does not move and sales that stop short of the complete solution are the three items that most often reduce an optical practice’s margin. They only show up when the data is read by category and over time.

Where to start: from the existing management software, with agreed definitions, and from a first comparison between the numbers and the positioning choices. Trade Up does this work with Alessandra in Italian; The Charismatic Practice does it in English over twelve weeks; Trade Up Online, from 15 November 2026, starts it on your own with a questionnaire and a report of priorities.
